Position: Purchasing Specialist

Department: Purchasing Department

Reports To: Department Manager

Job Summary

The Purchasing Specialist is responsible for supporting purchasing, receiving, inventory control, pricing, and related administrative functions. The position ensures that inventory is accurately received, recorded, barcoded, priced, transferred, and adjusted within the inventory management system. The Purchasing Specialist also tracks purchase orders, conducts inventory checks, assists with deposits, maintains accurate records, submits required documentation to Accounts, and communicates discrepancies or irregularities to management and Internal Audit (IA).

Duties & Responsibilities:

* Receive incoming inventory and accurately enter received items into the inventory management system.

* Verify quantities and product information against invoices, purchase orders, and receiving documentation.

* Barcode and label inventory items accurately.

* Process inventory transfers between departments, locations, or branches.

* Process authorized inventory adjustments and ensure all changes are properly documented.

* Maintain accurate and up-to-date product pricing in the inventory management system.

* Track purchase orders from placement through receipt and follow up on outstanding or delayed orders.

* Ensure purchase order documentation is complete and properly maintained.

* Forward purchase orders, invoices, receiving documents, and other required paperwork to the Accounts Department in a timely manner for processing and reconciliation.

* Send receiving documentation and supporting paperwork to Foreign Accounts for processing, payment, and reconciliation as required.

* Identify, investigate, and report discrepancies between physical inventory and system records.

* Maintain accurate and organized purchasing, receiving, inventory, and deposit-related records.

* Communicate promptly with management and Internal Audit (IA) regarding discrepancies, irregularities, or other issues requiring review.

* Follow established company policies, procedures, and internal controls.

* Work collaboratively with Purchasing, Accounts, Foreign Accounts, Inventory, Operations, and other relevant departments to resolve purchasing, receiving, pricing, and inventory-related issues.

* Perform other duties as assigned by management.

Qualifications/Experience:

* Previous experience in purchasing, receiving, inventory control, or a related field preferred.

* Basic computer skills and the ability to operate inventory management systems.

* Strong attention to detail and accuracy.

* Good organizational and time-management skills.

* Strong numerical and record-keeping abilities.

* Good written and verbal communication skills.

* Ability to track multiple purchase orders and manage documentation efficiently.

* Ability to work independently and as part of a team.

Education: High School diploma or equivalent
